Privacy Policy
Last Updated: July 3, 2026
At Sydneil Technologies LLC ("Company," "We," "Us," or "Our"), our guiding principle is absolute privacy by design. This Privacy Policy describes how we collect, use, and disclose your information when you visit our website or use our software application (the "Software").
We do not sell your data. We do not use your data to train AI models.
1. The "Zero Data" Guarantee: Offline Core Functionality
The primary speech-to-text capabilities of the Software operate entirely offline. Your audio recordings, speech data, and generated transcripts are processed locally on your own computer hardware.
This data is never uploaded, collected, monitored, or transmitted to Our servers. Because your sensitive audio and text never leave your local machine, the Software is inherently designed to support your compliance with stringent privacy frameworks, including HIPAA.
2. Information We Collect and Why
While the core transcription functionality is completely offline, we require an internet connection solely for the initial purchase, license activation, ongoing license validation, and customer support. Our principle is to collect only what we absolutely need.
A. Identity & Contact Information
When you purchase the Software, we collect your First Name, Last Name, and Email Address. This is required to deliver your license key, manage your account, and send you essential product updates or security alerts.
B. Hardware & License Validation Data
To protect our intellectual property and prevent unauthorized sharing (piracy), our Software securely communicates with our license management systems. During this activation and validation process, we may collect:
- IP address
- Device type and operating system
- Unique hardware identifiers required to bind your license key to your specific device.
C. Billing Information
When you purchase the Software, you will provide payment information. We do not directly collect, process, or store your credit card data. All financial transactions are securely handled by our trusted payment processing partners, pursuant to their own strict privacy policies and security standards.
3. How We Share Your Information
We only share the minimal amount of administrative data required to operate our business. We share information in the following specific situations:
- With Trusted Service Providers: We share necessary administrative data (such as basic hardware identifiers, payment details, and license status) with our trusted partners strictly to facilitate payment processing, license generation, device authentication, and essential business operations.
- For Business Transfers: We may share or transfer your personal information in connection with, or during negotiations of, any merger, sale of Company assets, financing, or acquisition of our business.
- With External Sites: Our website may contain links to third-party platforms. We are not responsible for the privacy practices of external sites.
4. Law Enforcement & Government Requests
Our policy is to not respond to government requests for user data unless we are compelled by a valid legal process.
Crucially, because your audio and transcripts are processed offline and never transmitted to us, we do not possess them. Therefore, it is physically and technically impossible for us to provide your audio recordings or transcripts to law enforcement, government agencies, or any third party.
If we are legally compelled by a proper warrant or court order, we can only provide the administrative data we actually possess (such as your name, email, and license activation history). We will notify affected users before sharing data unless legally prohibited from doing so.
5. Your Data Rights & Deletion
Depending on your location (including rights under the CCPA or similar state laws), you have the right to request access to, or deletion of, your personal information.
Upon receipt of a verifiable request, we will delete your identifying information from our active records and direct our service providers to do the same. Please note that requesting the deletion of your Contact and License data will permanently revoke your license key, and the Software will no longer function on your device. We may also retain certain transactional data if required by tax or legal obligations.
To exercise your right to deletion, please contact us in writing at the mailing address provided in Section 9 below.
6. Data Security
The security of your Personal Data is important to us. We rely on industry-standard third-party providers to secure your payment and licensing data. While we strive to use commercially acceptable means to protect your data, no method of transmission over the Internet is 100% secure.
7. Children's Privacy
Our Website and Software are not intended for or directed at children under the age of 13 (or 18, depending on jurisdiction). We do not knowingly collect personally identifiable information from children. If you are a parent or guardian and believe your child has provided us with personal information to purchase a license, please contact us so we can take steps to remove that information.
8. Changes to This Privacy Policy
We may update Our Privacy Policy from time to time to reflect new operational practices or legal regulations. We will notify you of significant changes by emailing the address associated with your license and by updating the "Last Updated" date at the top of this policy.
